Hello Everyone,

For you Quickbooks users, I am adding a How Do I section in the frequently asked bookkeeping questions pages to help assist with the everyday bookkeeping data entry process.

I was back in the news again on April 9, 2006 Embezzlement is on the rise. This time front page - feature story. Read it here. Embezzlement is costing tens (in some cases hundreds) of thousands of dollars for small across the country - even causing some of those businesses to close their doors after years and years of service. Unfortunately, the consequences are due to lack of organization in almost all cases. Organization is mandatory when you own a business. It is the life blood that keeps the business alive. Without it there is no even flow, no checks and balances, no overall system of control.

Disorganization is extremely appealing to some bookkeepers. It's like being in a candy store. Disorganization or worse yet, lackluster control on the part of management is an open invitation to the less than scrupulous bookkeeper to lift the lid on the treasure chest that holds the company assets.

If you think the bookkeeping job is minor, meaningless, doesn't really make any money - try sitting in that seat for one week, watching the money coming and going. Especially if the money is moving erratically, in a disorganized way, that bookkeeper might be the only one going home night after night wondering if she or anybody else will have a job tomorrow. Other employees have no clue that she is having a hard time managing the careless boss' spending. And, shame on that boss for putting her in that position. The boss probable doesn't go home worrying at night, because s/he doesn't even know what the business has or doesn't have. That bookkeeper knows more about the business than the owner and that creates an open invitation for fraud and embezzlement. A well organized office prevents these perils.

I can't stress the importance of organization in your business enough. Clients can tell if a business is organization, it feels comfortable and safe. Vendors see it. Maybe most important of all, employees see it and feel it. Turn over is low, loyalty is high and productivity is soaring. As business owners, I'm pretty sure that's what we want.
